Capacity Limits
Setting daily, weekly, or monthly booking caps on services
Capacity limits restrict how many bookings can be made for a service within a given time period. Use them to manage stock, staffing, or workload.
When to Use Capacity Limits
- Vaccine stock management -- limit flu vaccinations to 20 per day based on available doses
- Specialist availability -- cap medication reviews at 10 per week when a pharmacist is only on-site part-time
- Workload balancing -- limit health checks to 40 per month to spread demand evenly
Capacity Limit Types

Adding a Capacity Limit
- Open the service offering's detail page
- Scroll to the Capacity Limits card
- Click Add
- Select the period type (daily, weekly, or monthly)
- Enter the maximum number of bookings
- Click Save
You can add multiple limits to the same service (e.g., a daily limit of 20 and a monthly limit of 200).
Progress Indicator
Each capacity limit displays a progress bar showing current usage against the maximum:
- Normal -- well below the limit (default colour)
- Approaching -- nearing the cap (warning colour)
- Reached -- no more bookings can be made for that period (full state)
When a limit is reached, the service is temporarily unavailable for new bookings until the period resets.
Cancelled Bookings
When a booking is cancelled, it releases one unit of capacity. The slot becomes available again for new bookings within the same period.
Interaction with Group Bookings
Each attendee in a group booking counts as one unit against the capacity limit. A family of four booking flu vaccinations together consumes four units of daily capacity.
If a group booking would exceed the remaining capacity, the booking is blocked. Ensure your limits account for typical group sizes.
