Walk-In Bookings
Create bookings for customers who arrive without an appointment
Walk-in bookings let you reserve a timeslot for a customer who has arrived at your pharmacy without a prior appointment. The customer's details and any required forms are captured after the booking is created, so you can keep the queue moving.
How Walk-Ins Differ from Standard Bookings

Walk-in is a flag on the booking, not a status. Walk-in bookings follow the same status lifecycle as any other booking (booked, checked in, attended, missed, cancelled).
Creating a Walk-In Booking
- Click Create Booking from the calendar or bookings list
- Select the service and timeslot as usual
- Toggle Walk-in on — the customer selection step is skipped
- Click Create

After creation, the post-creation panel gives you several ways to get the booking in front of the customer.
Sharing the Booking with the Customer
QR Code
A QR code is displayed automatically. The customer can scan it with their phone to open the walk-in registration page directly.
Copy Link
Click Copy Booking Link to copy the booking URL to your clipboard. You can then paste it into a message or open it on another device.
Send to Kiosk
If your site has a paired kiosk that is online, you can send the walk-in directly to that device.
- choose an available kiosk from the Send to Kiosk section
- click Send
- if the kiosk is already busy, you can force-send and replace the current job
After sending, you can open the booking and monitor the kiosk handoff state from the booking page.


What the Customer Sees
The customer can complete the same booking flow in two ways:
- On their own phone by scanning the QR code or opening the copied link
- On an in-pharmacy kiosk if staff sends the booking directly to a paired kiosk
In both cases, the flow is the same.
1. Registration
The customer enters their details:
- given name and family name
- email address
- phone number
- date of birth
- gender (optional)
For group bookings, additional attendees can be added.

2. Form Completion
If the service has pre-service forms, they are presented immediately after registration. The customer sees:
- a list of required forms with completion status
- a progress indicator showing how many forms are complete
- a link to fill out each form

3. Confirmation
Once all forms are submitted, the customer sees a confirmation screen with their booking reference.
Booking Page Handoff Status
If a walk-in has been sent to a kiosk, the booking page can show that handoff while it is still active. This helps staff see whether the booking is:
- waiting on the kiosk
- in progress
- no longer active
- offline or unavailable
The handoff indicator disappears once the kiosk job has been completed, replaced, cancelled, or otherwise stopped.

Existing Bookings with Incomplete Forms
This page covers the walk-in flow specifically, but kiosks can also help with standard bookings.
If an existing booking still has incomplete customer forms or a prescreener, staff can open that booking in the app and send it to an online paired kiosk. The customer can then complete the outstanding work on the kiosk instead of using their own phone.
This uses the same handoff model as walk-ins:
- choose an available kiosk
- send the booking to that kiosk
- force-send if a kiosk is already busy and you need to replace the current job
- monitor the handoff from the booking page while it remains active
Walk-In Indicators
Walk-in bookings are visually distinguished in the staff app:
- Booking list — a walk-in badge appears alongside the booking details
- Booking detail page — the walk-in flag is shown in the booking summary
This makes it easy to see at a glance which bookings are walk-ins and which were pre-scheduled.
Form Delivery for Walk-Ins
Walk-in bookings override the normal form delivery schedule:
- Pre-service forms — delivered immediately when the customer completes registration
- Post-service forms — delivered at the normal configured time, anchored to the booking end time
This ensures the customer can complete intake forms while they are still at your pharmacy.
Tips
Walk-in bookings work well with kiosk mode. You can keep a device at the counter for self-service use, send a newly created walk-in straight to a paired kiosk, or send an existing booking there when the customer still has forms to complete.
Walk-in bookings are not automatically checked in. You still need to check the customer in through the normal check-in process when they are ready for their appointment.
