Submitting Historical Vaccinations

Record vaccinations administered in the past that aren't yet in AIR

Historical vaccination submission allows you to record vaccinations that were administered in the past but aren't yet recorded in AIR.

When to Use

  • Vaccination was administered days, weeks, or months ago
  • Transferring records from paper documentation
  • Patient presents vaccination records from a previous provider
  • Catching up on backlog of un-entered vaccinations

For vaccinations given outside Australia, use Overseas Vaccinations instead — the process is the same but with the overseas toggle enabled.

How to Submit

The process is the same as recording a new encounter, with one key difference:

  1. Open the encounter recording form
  2. Set the Date of Service to the actual date the vaccination was administered (not today)
  3. The vaccine dropdown will filter to show vaccines valid on that date
  4. Complete all other fields as normal
  5. Submit the encounter

Always use the actual date the vaccination was administered, not today's date. The date of service determines which vaccine codes are available and affects AIR's validation.

Notes

  • Historical encounters follow the same validation rules as new encounters
  • AIR may pend historical encounters for review — see Accept and Confirm if this occurs
  • Ensure you have documentation to support historical entries
